Online delivery roster
Wanting an advanced excel spreadsheet that automatically rosters the correct amount of drivers and shoppers at key times of the day based on certain data

Types of workers
Manager
Shift supervisor
Drivers - Part time and casual
Loader
Shoppers - Part time and casual

Shopper pick rate 180 per hour
So if we need to pick 4,000 items in one shift we require 22.22 hours of shoppers
Shopper shift lengths are 3 hours
AM shift shoppers work 7:00-10:00
PM shifts shoppers work 14:00-17:00

Drivers
AM shift
Require 2 or 3 vans starting from 5am
Need one driver per van
Drivers shifts dramatically vary based on how many houses they have to deliver to.

PM Shift
Require 3 or 4 vans starting from 2pm
Need one driver per van
Drivers shifts dramatically vary based on how many houses they have to deliver to.

Required:
Need to be able to input data - such as number of vans, items that need picking
Team member availability
Green - team member can work all day
Red - team member cannot work that day at all
Orange - team member can only work in afternoon
Blue - team member can only work in the morning

The manager will run the morning shift when they work
A afternoon supervisor will need to start at 12:30 to look after the afternoon shift until 18:30
A morning and afternoon shift supervisor will need to be rostered on days the manager is off
Morning supervisor starts from 05:30 or 06:00

A loader is a person that helps load the vans. A van takes about 20 mins to load.
A loader can also shop. Not all shoppers can be loaders. Mangers and supervisors are all loaders and supervisors.

Spreadsheet needs to be easily editable so that I can add and remove team members replace team members if sick etc

Need to start with a base roster. Some shoppers, supervisors and drivers have set days and times. so these must be inputted first.

Then it would be great for the spreadsheet to be able to input casual shoppers and drivers as needed.

Need to be able to adjust team member availability. Spreadsheet needs to be able to roster based on there set availability

Need a weekly roster view
And I need a day by day roster view sorted by times and type of team member (driver, shopper, supervisor etc)

We have
20 drivers
4 supervisors
40 shoppers

    In My Microsoft Excel Automatic Rostering Spreadsheet, You can add employee's and also you can delete employee's if need ( when employees are Leave ). It's an Automatic generate Rostering Spreadsheet. Just you put the value in the right place when you look all the sheet where change the value automatically would change the value everywhere.

    Hi! I would love to put something together for this, just some qs
    1.How many loaders/van?
    2.Do vans return multiple times/shift re-load or is there one run / van?
    3.Do vans get loaded consecutively?
    4.Is there a standard minimum two consecutive days off/week /worker (assuming this stretches across weeks e.g. someone can't work Wed-Sun then Mon - Fri the following week)?
    5.How do you want to handle overtime? I can set a max hrs/week for casual workers to ensure overtime is not rostered. However what would you like done if all shifts cannot be filled?
    Recommendation: Have these highlighted at the bottom of the sheet so there is a conscious decision to roster O/T.
    6.Are split shifts allowed (can someone work morning and afternoon on the same day) for shoppers/supervisors?
    7. Are split shifts allowed for drivers?
    8. 'Loader can be a shopper' I'm assuming this means they do both in the same shift (so if you had one van an hour then they would spend 20mins loading and 40mins shopping)?

      wow they are all great questions,
      1. we have 4 vans total. they get loaded pretty much consecutively.
      2. there are reloads but let keep it simple. maximum of 4 vans can go out in the am, and a maximum of 4 vans go out in the pm.
      4. maximum is 20 shifts per month, 36 hours per week.. No overtime will ever be paid. two consecutive days isn't needed.
      5. no overtime. maximum 36 hours per week. maximum 5 starts (they can do 6 starts but then the following week they would have to work only 4 starts. no more than 6 days straight without a day off.
      6. no split shifts.

    hi, i'll like work on your project, so i need other info.
    green team can work all day, mean 8-12 13-17? or am or pm without problem?
    color teams are for every tipe of worker?( driver/shopper/loader )?
    loader are only full time?( not casual or part time?)
    start shifts are 7:00 for AM and 14:00 for PM?
    How long is the driver's shift?

      am driver shift 6-12, pm driver shift 13:30-22
      green means all day - either am or pm
      loaders are part time or casual. no full timers
      shopper shifts start at 7 am and 14 for pm that is correct

    I can do it as what you described. Excel is a simple work project for this roster and it easy to use for common user such as your supervisor. If you want the up level project, you will propose the access format compare to excel. But, I don't get what the key point for this project. This project want the automatically roster made or want to manipulate data and change to another format. what is it the important features do you want for this project. Just contact me for clarification.

    My suggestion would be you hire a freelancer instead of a contest, since this application will take several logic buildings where it would be necessary to discuss it in person, also it needs to be tested at multiple steps, i have designed few automated scheduler for a BPO, i can show you the examples if you wish.

    1.) so to plot the schedules automatically first we need to know the workload, i believe in your case it is "items to pick" so would it be different for morning and evening or you would have a daily number. 2.) once we have the workload we need to know how many shoppers and Vans will be required i.e is there any capacity for the vans on how many items one Van can deliver.

    Well, I can do it in excel and in some other advance software like VB & Python. But I guess you have posted this in wrong section. You can directly hire any software developer or excel expert or posted in project section to receive bid. The task is a bit big & if not guaranteed & not awarded, participating here is not worthy. For the project, yes I can do it. But as a project, not as a contest.
