I want a better accounting system that keeps track of the tenants and their payments.
I have an apartment building with 5 apartment units. It is run like a hostel, where there are many bunk beds in each apartment but the people are not travelers, they are locals who stay for a minimum of 2 weeks, some more than a year. There are 42 beds.
Apt 1 1st floor - 2 rooms 2 bunk beds is each room 8 total beds
Apt 3 2nd floor - 2 rooms 2 bunk beds is each room 8 total beds
Apt 2 1st floor - 2 rooms 2 bunk beds 1 single bed in each room 10 total beds
Apt 4 2d floor - 2 rooms 2 bunk beds 1 single bed in each room 10 total beds
Apt 5 2d floor - 1 room 3 bunk beds in room 6 total beds
Each apartment has a south room (left) and north room (right) except apt 5 has 1 room.
Each person needs to pay 205 each 2 weeks for top bunks
Each person needs to pay 225 each 2 weeks for bottom bunks
Payment is bi weekly not monthly.
I have a live in manager who collects and manages who has her separate efficiency in the building who will enter the payment information.
I want a program hosted online so the live in property manager can enter the tenant and rental income information and I can view it online. Or my family member can view it if I am out of town.
Each bed has the following designations:
1 - Apartment, 2 - room, 3 - Top Bunk 1, bottom bunk 1, Top Bunk 2, bottom bunk 2, top bunk 3 bottom bunk 3
I need to be able to enter the following:
1 - name of each person in each of the 42 beds,
their phone number birthday and Driver License number.
This could be simply a blank field we can fill in their name, their id information and notes, ie. a blank field that allows upto 200 characters. if not too expensive I can even upload a picture of them or of their drivers license.
It should archive tenants, start date, exit date, id information.
2. Rent is paid in intervals 2 weeks in advance, some pay a month in advance, no security deposit, no last month, no lease. I want manager to enter when tenants pay. . If they are short for the 2 weeks payment, it should show balance owed, if they are late on their payment it should say LATE NEED TO EVICT. It should total the amount collected between collections.
A typical scenario is we collect every Monday. Lets say we collect Monday at 2PM and make a deposit. The manager will be collecting rents from Monday 2:15PM until our collection the following monday at ie. 5PM. We need to be able to hit a button or it should show up automatically the tabulation of the total rent collected since last collection.
It should show the total that is due to collect: total manager collected money since last owner collected from manager.
It should also show the:
The individuals with balances owed ie. they paid only $160 of their $205 payment.
The individuals that are late.
