Document approval flow by using Sharepoint form and Microsoft Flow's workflow
Intention of the workflow is to inform approver by e-mail of the incoming document (document in this case physical document which will be forwarded to next recipient) and inform to whom the document needs to be send forward. At the same time we should be able to track where the document currently is based on the workflow status.
We have multiple different approval flows (only variation is the approver names=distribution list) . Each workflow has typically from 10-15 different persons. Workflow should be sequenced (not parallel) to follow the 'physical' flow of the document.
1. Create document header by using Sharepoint form stating following information
a. Document name
b. Document date
c. Document version
d. Workflow to be used (one out of three to five variants)
2. Workflow starts when new document header has been created, sends the email to first person on the workflow list
a. Subject of the e-mail: You will soon receive a 'document name' to be signed. E-mail content: Dear 'name of the recipient', document 'document name', version 'Document version' has been sent for your approval. Please sign it within three days and send it forward to 'next person on the worflow list'.
b. There should be a 'signed/approved' button available for person to confirm the signature of the document -> this change of status is reflected in flow
3. When first person has approved the document next person gets the same message as first one. Workflow will loop through all recipients until all signatures have been gathered.
4. End of workflow
So I do not have capability to build needed set up in flow, I know just very basics. Your job would be to create and test this workflow in your environment and give me the needed steps to create this is our environment. And then do some troubleshooting together with me if needed.
