Navigating the complexities of project management in a fast-paced marketing agency can be challenging. It’s crucial that your internal team stays aligned and focused on high-impact tasks to drive performance effectively. With over 12 years of experience in both project management and team coordination, I excel at ensuring workflows remain efficient and priorities are clear. My background includes working with various tools such as Trello, Asana, and ClickUp, which allow me to streamline task assignments while managing multiple projects simultaneously. I also have a solid understanding of marketing workflows, enabling me to identify bottlenecks and resolve issues promptly. In terms of prioritization, when faced with multiple urgent tasks from team members, I assess their impact on client deliverables, deadlines, and overall revenue implications to make informed decisions. Could you share what specific tools or systems you currently use for task management within your team?

Hi there! You are building a fast growth marketing agency with multiple clients and tasks running in parallel and the real challenge is keeping priorities clear so nothing slips or blocks delivery. In a recent agency coordination role I improved on time delivery from 78% to 96% by tightening task tracking and daily priority checks using ClickUp and Asana. I also reduced blocked work time by 30% by improving follow ups and ensuring clear ownership. I will create a single source of truth for all work, enforce daily priority alignment with each owner, and drive fast follow ups so tasks keep moving without delays or bottlenecks in handoffs. Check our work: https://www.freelancer.com/u/ayesha86664 When multiple team members say their task is urgent, how do you decide what gets priority first? I am ready to start — just say the word. Best Regards, Ayesha

I’m a strong fit for this role because I already perform this type of work daily in a high-demand, fast-paced environment. As a Cross-Functional Project Manager, I coordinate distributed teams, prioritize tasks based on impact and dependencies, and ensure that work moves forward without delays. I’m highly organized and proactive — I don’t wait for issues to escalate, I identify bottlenecks early and resolve them quickly. I’m also very comfortable managing multiple projects at once, keeping clear visibility across tasks, deadlines, and team priorities. What sets me apart is my ability to bring structure and clarity to complex workflows, ensuring that every team member knows what to focus on and that nothing falls through the cracks.

Hi there, I currently work remotely with Catalyst Central in Perth, Australia, where I manage task coordination, prioritization, and workflow across multiple projects. Here is how we work: After you share active tasks across clients and internal projects, I review everything and prioritize based on deadlines, client impact, revenue impact, and dependencies. Then I assign or confirm task ownership and ensure every team member knows their #1 priority. Next, I check in daily to track progress, follow up on incomplete or overdue work, hold team members accountable, and resolve bottlenecks quickly (missing info, approvals, handoffs). Finally, I maintain visibility across all projects and timelines, keep work organized, and ensure deliverables are completed and ready for handoff. My answer to "If multiple team members all say their task is urgent, how do you decide what gets done first?": I first verify urgency against actual deadlines and client impact, not perceived pressure. Then I look at revenue impact (tasks that protect or grow revenue go first), dependencies (what blocks other people's work), and quick wins that unblock the rest of the team. If two tasks have equal impact, I prioritize the one with the nearest deadline. I also communicate the reasoning clearly so the team trusts the decision. Availability: 30–40 hours per week, Pacific Time (9–5 M–F). Rate: $18 CAD/hour. Ready when you are. Best, Eng. Sibora
