Hi,

Ok so far we have done the helpdesk and most of the live chat. We did it in a very crude system and we have a template system. We also have a language system as we planned to make it commercial but have now decided not to. Therfore you wont have to use the language system but you will have to use our template system.

[url removed, login to view] You can login as a general user via test/test just to see what the user can see so far.

Current as at the moment i am working on the public announcments page. We had before made everything private so we still need to do a few things to the helpdesk.

-> Make Submit Ticket Public. So on the main page make a link to it and allow people to submit tickets in public. We have email piping so people can do it via that method however, we would also like one on the main support page, so that people can do it that way as well.

-> Email Templates. We need to make email templates. At the moment they are hard coded in but I would like to be able to add them to the code and make it easy to configure via the admin area. And have a few variables in the form {} or %% or something. These variables are things like userid ticket id etc... they would be different for each email as you can imagine.

-> Allow people to view tickets without logging in. Currently with email piping you just get a reply to your email and can reply via that way, but I would like it so that people can click on the link on the main page and it says insert ticket key and email. This means we will have to change the ticket id method at the moment as its just numbers via auto incriminent. If people submit a ticket via email and they are a member it should also show up in there member area

-> Allow people to do live chat public. At the moment the live chat is just private. This made it easier to code but when we looked back we thought it would be better to have it public. We would also like to add seperate departments to live chat, (same as helpdesk so thats easy to configure). So make this public, and record logs etc. Allow these logs to be accessed only by admin users. And refresh rates, we had them set on very fast to make it easy to test and we want to change that to something much less :P

-> Change public announcments so that there is a small summary of 20-30 words

That is all I can think off that needs to be finished for the helpdesk part of things.

Now we start the billing side of things. This will be located at http://billing.totalrack.com. I want this to use the same DB etc as the support, so company name, servers etc are all linked up together, and clients only need one username (and so do the admins). The helpdesk should have a link to the billing section and vica verca. At the same time the billing main site should have a login so they dont have to go to the helpdesk to login. So for that you just check if they are logged in or not and if they are redirect to main billing page and if they are not redirect to login page.

-> This needs to be secure. We will have SSL on it but we need to use anything to make this as secure as possible.

-> For billing information on signup we need payment method, server hostname, server specs, server login, server login password, root password, company name etc. Then all company name. Each customer obviously can order more than one server

-> Order form. Well we have the different servers, VPS and Reseller acounts so: Dedicated Servers – We need to be able to add these all the different types and their “base cost”. Then the order form for this will be like the one for ThePlanet (If you have ever seen it). So it has pull down boxes full of options “additions”. The default that comes with the server will already be selected but then there are upgrades. I will need an “addon” table in the database to put all the costs of these and then we can feed that into the signup. VPS – simple all we need is the space and plans there is no configuration and same goes for the reseller.

-> Once the order has been recieved a message must go out to the customer saying the order for “list details” has been recieved. This was submitted by the IP: xxx.xx.xx.xx. If this wasnt your ip... etc etc. Then an email must go to the accounting department, which can just be sent as an email it will be created in the helpdesk automattically. Then on the main page of the billing center it must say “x” number of pending accounts waiting activation. This obviously leads to the account page where we can activate the user and give him/her a login to helpdesk and billing. This will send off an email etc etc.

-> As well with that they must be given a link or taken to paypal/2checkout/[url removed, login to view] We need integration with all of these methods, preferably API and we need it to be reoccuring. We also need a cancelation page which creates a ticket again with the accounting department. This must include account name etc etc and Reason for cancellation

-> We must have automatic invoicing sent 10 days before the billing date. I would like to be able to change the days before, and as of yet am not 100% sure how i am going to do that so maybe you can help with it. All the dedicated servers will be billed on the 1st of the month for easy managment (as we have to pay the servers around this time). Therfore if they signup after this date they only pay for the remaining of the month... If you understand me. The VPS and reseller can be billed whenever though so therfore 10 days before invoices need to be sent. These invoices must be available for view (with archive of 3 months) via the clients login in the billing center.

-> If someone does not pay by their billing date a reminder is sent and a warning saying that if they do not pay within 7 days their service is unplugged. If these 7 days have passed and they still have not paid, then a message is sent to the accounting department saying switch of server basically :P. So when someone pays via paypal or one of the methods I would like it to set the account to paid. The admins must also be able to set accounts to “paid”.

-> Admins and billing staff should then have stats like, total amount in per month, total costs, profits, etc etc other stats like in modernbill etc.

-> In the signup form there must be a "refer" field. This should have an ID where you can type on of the users IDs in. If you are a refer, you should get 10% credit. This % should be changed.

Remember for all emails outgoing or to helpdesk we must be able to change it via a template!!!

Okay thats all I can think of right now. I have a feeling I have missed a lot but hey I can add more later. Pleaes remember that I will be helping you and so will my partner so you will NOT be donig all of this
