Hi I am the scorer for our local pony club zone area & have a spreadsheet system to run the scoring. The results are written on pieces of paper then bought to the office for me to enter into the spreadsheet, tally results & at the end of the day work out highest point scores etc.
I want an event management tool setup primarily for pony clubs but can be used for other horse event organisations. I want to eventually be able to market this to other clubs etc. What ever is developed needs to be able to be customised or tailored by myself.
I have started to play with developing something in access but thought I would see if there is someone that can provide an alternate solution.
I want each judge to be given a tablet/ipad so they enter the results and it puts the results into the results tally sheet. the announcer would get results straight away on another tablet and the gate marshall would also have a tablet with each class on it so they can marshall the riders into the correct event. at the end of the day I want to be able to get reports on highest point scores and 2nd place for each age group and then various other results the results depend on the event and the club - they all have different trophies.
there would be sections such as orgnaisation type - pony club, school horse sports, ag shows, etc. then members, then event types and classes for events.
some organisation types will have levels - such as state, zone, club, members and members maybe riding member or non riding member
Membership. This will depend on the type of organisation. Pony Club and gymkhana club will need to be able to renew members online. this will need to be for families and individuals and for the parents to sign declarations etc. fees would be paid on line and to the clubs bank account.
Other organisations don't have membership only event fees.
Members will need to be able to add and manage horse details and also for family members add and manage family member details
At club / zone level there will be events created. Events can be various things such as competitions or camps or training days. Each event will have different classes and the classes will be based on age groups and gender or horse height. If there is less then 4 riders in a gender for a age group (so say only 3 boys) then for some events the genders a will be combined some will be ridden as separate genders. some classes will go over a range of age groups and some will be based on a capability grade (eg show jumping - is by a b c d e f grade and not by age). some classes such as horses height will be split by junior riders (under 13) and senior riders (over 13)
the event organiser (the club / zone) will set up each event. they will say what type of event it is and add the different classes. they will set the fees for the event and other things such as horse stable costs, camping fees.
the members will log on and register for the event. the registration close date will depend on the event. some can take registrations right up to the minute it starts others will be a week or so before.
fees will be paid online and will go to each organisations bank account. option needs to be there for payment by cash on the day if some clubs want to run that way instead of forcing online payment.
changes to registrations can be made. sometimes they will need to provide a vet certification if they are changing other times they wont
horse health declarations are to be uploaded with entries and for some events such as show jumping a copy of their performance card
then the event needs to be managed with draws being created, entering results, for timed events entering the time and it works out 1st, 2nd,3rd,4th placing, talling results and creating awards and trophies list. for pony club there needs to be individual results, results for teams within clubs and club results.
