The overall aim of the Arido Application Suite ([url removed, login to view]) is to bring together the current union systems in to one centralised web application. The project focuses primarilyon user management and putting data into context for each set of user groups. The systemwill effectively manage any number of institutions and add a control layer over each to allowfor effective user [url removed, login to view] project is developed initially for Union Reps and its members and will eventually seek to:
&#61607; Manage union representatives and caseloads.
&#61607; Provide targeted information to a specific audience.
&#61607; Provide an effective means of communication between management and staff.
&#61607; Evaluate output to provide useful statistics.
The development of a user focused web based management suite will support the application by enabling:
&#61607; Managers to create and manage caseloads of union queries.
&#61607; Users to access the most recent information from within their own target groups.
&#61607; Managers to review working practices and prioritise unresolved cases.
&#61607; User setup, management and transfers.
&#61607; Managers to structure their time effectively by using the new tools available.
In addition, the administration system should also allow further information beyond that ofthe users. This includes:
&#61607; Automating import routines to keep all user and system information up to date.
&#61607; Advanced statistics and analysis tools and techniques.
&#61607; Real time access to comprehensive information on the activities and caseloads ofunion representatives.
&#61607; Reminders and updates for unresolved cases.
Key features of the online system:
&#61607; UMS -> User management system. The overall control application.
&#61607; CMS -> Content management system. A tool to customise content on the site,including a forum.
&#61607; Tracker -> A caseload tool linked to the UMS for each union representative.
&#61607; Excel imports -> An automated system which by current data held can be uploaded onto the new system.
&#61607; Reports - > A statistics package used by UMS administrators.
&#61607; Calendar -> Linked to both the UMS and CMS to give each user customised contentand manage their time.
&#61607; Offline Content -> Current information held in offline spreadsheets and databases to be published online and used within the UMS to give users comprehensive data.
Integration: We must be aware that all systems can and will integrate with each other. In order for the project to be successful all content must be readable by external systems and be readily available to export into multiple formats. Web services may be required to successfully integrate the new system with current methods of operation but this will need to be explored when setting up the new system.
Statistics and Analysis: At each stage in the development statistics will be required to successfully manage the system. There will be a requirement to work together to collate available data and export or present the data available so that it is easy to understand. The report generation tool will allow the management to discover potentially anything from the new system.
Existing Data: Every effort will be pursued to incorporate data that has already been collected. Current data held in excel can be imported into online databases with simple operations. This data will be handled with full regard to secure and protect the data once in the system.
Security: At all stages of development it is crucial that the site and its content is secure. This will be enabled by ensuring the site is hosted on a secure server using secure web protocols. Security will also be introduced through advanced programming techniques. At no point may data be exposed to users who have no authority in doing so, therefore vigilance is requires at all times. The administrators of the UMS will be in full control of whateach user can and can not view.
Feedback: There may be a need for user feedback, therefore there will be additional tools added while the system is in development to allow thorough error reporting and user input. This will allow any problems to be rectified early in the development.
