**We need to develop a proof-of-concept prototype that would allow our client to see and interact with a simple work-up of a standards-based web-enabled data management system based on our client's record types.
Such a prototype could be created in about ten days, perhaps less. This could be used to then collaborate on formulating a full specification of the system and client's needs.
A formal proposal for development of the full system would depend on finalizing a project specification as the above is a mere outline. Here's the app that has all the features the client desires but has none of the accessibility, technology, support.
They've ruled it out completely even though it has all the application features the client likes.

It's not cross-platform (it's Windows-only); It doesn't use MySQL(?); and it's not web-enabled. Those are major criteria for them so they decided against pursuing it.**
I see the preliminary specifications for the system being as follows:
Specification for an information storage and business workflow management systems providing:
**01)** Entry, storage and editing for records of the following types: Contact, Talent, Equipment, Event, Venue, and Document. The Document type should be capable of handling multimedia data files such as music and video.
**02)** Tracking, display and management of workflow elements of the following types: Inquiry, Casting, Booking and Travel.
**03)** The workflow management will allow searches, listing, selection and inclusion of data from the data in (01) above (such as contacts, venues, etc.)
**04)** A system of keywords and categorization will allow documents to be tagged and searched.
**05)** Address, telephone and date formats should allow for international formats as well as US standards.
**06)** "Quick-Add" of contact info should be allowed from any related entry and update forms.
**07)** Use a password-based permissions system with group hierarchies to determine access to the system. A "forgotten password emailing" system should be implemented.
**08)** Workflow entries should trigger email to responsible tagged users and contacts.
**09)** The system should be web-enabled with all access and management possible through a web browser. The system should be accessible from both Macintoshes and Windows-based computers with web access.
**10)** The system should incorporate a searchable transaction history allowing tracking, query and audit of "events" for each of the record types. [E.g. for a specific item of equipment, show all usage and movement over the previous 90 days...]
**11)** Provide entry aids: auto-completion, lookups, mini-calendar date selection, etc.
**12)** Facilitate import of existing data from a Microsoft Access system currently in use. ===== The above only provides the scope for the design of the system and for setting expectations for what the system should provide. It is necessary to go into more detail**, stipulating:
**a)** the actual characteristics of the data for each type of record (how long a surname can be, which date formats are allowed, exactly which categories a contact can be assigned, etc.)
**b)** the actual desired input and update layouts
**c)** the relationships between the data
**d)** the desired searches and reports
**e)** the maximum size of uploads
**f)** allowable upload file types
**g)** groupings and other details of access control Choices will have to be made about equipment, hosting and technologies.
**1)** Complete and fully-functional working program(s) in executable form as well as complete source code of all work done.
**2)** Deliverables must be in ready-to-run condition, as follows (depending on the nature of the deliverables):
**a)** For web sites or other server-side deliverables intended to only ever exist in one place in the Buyer's environment--Deliverables must be installed by the Seller in ready-to-run condition in the Buyer's environment.
**b)** For all others including desktop software or software the buyer intends to distribute: A software installation package that will install the software in ready-to-run condition on the platform(s) specified in this bid request.
**3)** All deliverables will be considered "work made for hire" under U.S. Copyright law. Buyer will receive exclusive and complete copyrights to all work purchased.
