We need to convert our current web to and new ecommerce solution.
Our current provider has developed a semi custom Cold Fusion site and we are having problems getting the support we require from our host.
This is an online bookstore with a unique twist; we deal in mostly 95% antique out of print books. Our current on-hand inventory is about 200,000 books with only about 8000 listed in our database.
Almost all of these books can be considered one of a kind books were the inventory level will always be 1.
Below is a summary of what we need done.
A professional web layout that is themed towards collectible / rare children's books.
We have no plans to sell anything other than books so it should be designed just for books.
I personally like the web site [url removed, login to view] and how it is laid out but I am open to any suggestions.
We have a basic logo that can be used for a template if possible.
Need full text and advanced search to be able to search by Title, Author, Illustrator etc.
New arrivals to display on the home page. Definable Weekly specials.
Site Setup / Transfer
Import our current on-line inventory, about 8000 books into the new application. I will provide the export file(s) in the required format(s).
Needs to run in a Windows / IIS environment. I operate and host other websites and will setup the server hardware, OS etc. I can install whatever version of PHP and MySQL that you need.
Once the project is complete and paid for I will point the domain to the new server and provide you with whatever access you need to install the files into the site and setup the datbase etc.
We would like to add a community forum section to our site using one
of the open source forum packages available. I have a lot of experience in setup and administering PhpBB2.
Online book request system
Somewhere on the site there should be a link to request we search
for a book.
The customer should fill out a form with as much information that they can example: Tile, Author, Illustrator, Publisher, Printing Year, 1st edition Y/N, Description, How soon do you need this book,
Customer contact info email, phone number and preferred method of contact.
We would like this information to be emailed to us when it is submitted but more important is that we want to keep track of it in the admin section so we can review all of our requests.
When / if we locate a book we would like to be able to complete the request by entering any missing information and saving it for future reference.
We also get a lot of phone requests for books, we would like to be able to add these to the system so we can keep better track of book requests. Right now we are just filling out 3x5 cards and it's
getting difficult to manage them.
Adding a new book (record), text, pictures, selecting the category / sub-category etc must be done through a single on-line form with certain fields being required and / or validated before being able
Once you add an entry it should go back to the same page to enter a new book NO BOUNCING AROUND, JUMPING THROUGH HOOPS! (being able to add new books to the database needs to be simple and fast is very important!)
Need Category and sub-categories. 3 levels deep. Example: TopLevel>Sub1>Sub2. We should be able to create, edit or delete these as needed.
Up to 4 images per listing that can be uploaded from the client entering the book record.
About 26 fields of information that needs to be filled in on the entry form, some are drop down selectable some are check box's and some are text strings.
Be able to select if the book should be exported to other markets or be exclusive to our site.
Everything should be exported to Froogle no matter what. To expand on this, add 3 options to the add book form, "Never Export" "Export after x number of days if not sold on our site" "Export Allways"
Software needs to be able to generate a unique SKU number that is associated with each book on the fly. This number must never be re-used.(very important) Need to be able to track the date that the
book was first entered into the database and also the last date it was modified, this helps us locate it.
Basic inventory management functions that most ecommerce shopping carts have such as search, edit, sorting by Title, Author, Category, Date entered etc.
When a book is sold out we would like to set the inventory to 0 but not delete the book record. When a customer searches and finds a book that we had but is sold it should say "Sold" but they have the option to click a button to request we try and locate another copy. Maybe that could feed right into our book request system?
Orders / Order Fulfillment
We do not process CC's online, we verify that we have the book in stock before manually running thecustomers CC. CC info should be collected during the checkout procedure and saved with their order.
We would like to use Paypal also, I know that is an instant transfer and that's ok.
Email notification should be sent to the admin of a new order.
Once we verify that we have the book we should be able to flag the order based on what step we are in, such as "Charged" "Shipped" "Canceled" etc.
Printable invoices and address labels.
Basic order management functions that most ecommerce shopping carts have.
Someday we may get our inventory squared away to the point that we can process cards using one of the payment gateways so we want that option to be available but for right now we can only locate about %90
of the books we sale.
Basic reporting that most ecommerce shopping carts have like, orders, inventory, products viewed etc.
Need a script to export our inventory daily to Froogle. I can setup a scheduled task to run the script and FTP the file to Froogle.
Books that have been sold and are set to stock level 0 should still be exported to Froogle with the original price so that people can see that we did have the book at one time and request another copy.
Scripts made for 3 different online book stores, Amazon, ABEbooks and Alibris that we send our inventory to (these are simple tab [url removed, login to view] files). Same as above, I can setup the task scheduler
to run the scripts.
Full 2 way synchronization with other markets is an option but cost is a factor for us right now so you may need to bid that out separate.
We have started to write some very good articles about authors, titles etc.
We would like to be able to publish these on our site as he creates them for anyone to read. Perhaps a section dedicated just for that.
We would like for this to become a kind of information repository so that it can be searched and used by anyone on the internet. It could be a simple form that he can cut and past from his word processor
into this database. Still integrated into the site.
We would like to setup a book club for our customers. The basics are that a person signs up and for a fee each month receives a book that we select for them. There can be different levels and prices based

We would like to integrate it into our site / shopping cart like a re-occuring subscription.
A customer downloadable .PDF catalog generated once a day.
