# Freelance Job Brief: Photo & Video Library Organisation for Hospitality / Retreat Brand We are looking for a detail-oriented freelancer to help us organise, rename, sort, and keyword our photo and video library in Google Drive. We run a boutique hospitality and retreat centre in Pelion, Greece, with villas, retreat spaces, farm-to-table experiences, wellness activities, local excursions, and destination content. Over the years, we have collected a large amount of media, including photos and videos from villas, retreats, food, gardens, farm life, activities, beaches, villages, and professional shoots. We now need help cleaning up and organising this media library so our marketing team can easily find and use content for social media, newsletters, website updates, brochures, ads, and general marketing. --- # Phase 1 — One-Off Clean-Up of Existing Photo & Video Library This first phase is a one-off project focused on cleaning up and organising our existing media library. ## Main Tasks The freelancer will help with: * Reviewing existing photo and video folders in Google Drive * Sorting files into the correct folder structure * Renaming files clearly and consistently * Identifying duplicates, low-quality files, and files not suitable for marketing * Moving archive material into the correct archive folders * Separating raw/original files from final edited files * Organising professional shoot folders * Organising website-ready and social-media-ready assets * Adding useful keywords/tags where possible * Flagging the strongest marketing assets for future use ## Keywording / Tagging We would also like the freelancer to add useful keywords where possible, especially for photos and videos that have long-term marketing value. The exact keywording method can be agreed depending on the tools used. ## Phase 1 Deliverables By the end of Phase 1, we would like: * Existing photo and video files sorted into the new folder structure * Files renamed according to the agreed naming system * Duplicates and low-quality files separated or archived * Final edited files separated from raw/original files * Professional shoots organised clearly * Website/social-media-ready files identified * Keywords/tags added where possible * A short completion report with what was done and any recommendations --- # Phase 2 — Ongoing Weekly Media Library Maintenance (seperate Job to be posted) After the initial clean-up, we may continue with ongoing weekly support. This second phase is focused on keeping the new system organised as new photos and videos are added by our team, volunteers, facilitators, and collaborators. ## Weekly Tasks The freelancer will help with: * Reviewing newly uploaded photo and video files in Google Drive * Renaming new files correctly * Moving useful files into the correct library folders * Moving weak, duplicate, or unsuitable files into archive folders * Flagging the best new content for the marketing team * Adding keywords/tags to selected files * Checking that final edited files are exported and saved properly * Sending a short weekly summary of what was reviewed, organised, selected, archived, or needs attention ## Estimated Time The weekly commitment can be discussed after Phase 1, but we expect it may require a few hours per week depending on the volume of new content. ## Phase 2 Deliverables Each week, we would like: * New uploads reviewed * Files renamed and organised * Best content flagged for marketing * Archive folders updated * Keywords/tags added where useful * Short weekly update sent to our team --- # Ideal Freelancer for this job!
