Map General Ledger Accounts to a reference Chart of Accounts
In most countries organizations are free to design their own Chart of Accounts Schema in their financial books. A sample:
2900 Liquid Assets
2920 Bank, LCY
2930 Bank Currencies
2940 Giro Account
2990 Liquid Assets, Total
2995 Current Assets, Total
2999 TOTAL ASSETS
3000 LIABILITIES AND EQUITY
3100 Stockholder's Equity
3110 Capital Stock
3120 Retained Earnings
3195 Net Income for the Year
3199 Total Stockholder's Equity
4010 Deferred Taxes
4999 Allowances, Total
5100 Long-term Liabilities
The disadvantage is that it is almost impossible to combine or compare financial information over com-panies.
To address this (some) governments regulated the Chart of Accounts OR have a Reference Chart of Accounts to map to. In both cases the software vendors of financial bookkeeping software had to change their software. In case of the Reference Chart of Accounts facilitating a possibility to map the organizations Chart of Accounts to the Reference Chart of Accounts.
Our challenge lies in those countries that are not standardized as yet. We are aiming to facilitate our own Reference Chart of Accounts and a clever mechanism to connect the organizations Chart of Accounts. This helps the organization by suggesting a mapping instead of mapping each individual account (which is a lot of work in an administration with 1000+ accounts).
The Chart of Accounts as well as the will in generally be an Excel list or database table containing the information below, + an Excel list with the reference schema.
The algorithm has to be:
• Looking at language semantically – the probability of a 1:1 match is too small
• Self-learning – based on previous human corrections
• Optionally multi lingual
Build a smart(er) algorithm as described above as a Proof-of-Concept.
The algorithm will be documented in a way that is readable for non-specialists.
The Proof-of-Concept is implemented following these requirements:
• Is a webservice with at least one method requiring two arguments (ChartOfAccounts, RefChartOfAccounts) and returning a suggested mapping
• Every Account can only be mapped to one Reference Account
• The reference general ledger account knows at least the following accounts:
• Asset account
• Bank account
• Creditor account
• Debtor account
• Expense account
• Neutral account
• Revenue account
• Stock account
• VAT account
• Microsoft C#.Net or VB.Net based, .Net framework 4.0 or higher
• All source code will be supplied as the including intellectual property
The implementation of our request will be worth $500.
Acceptance takes place at a 70%+ match rate of our sample database to the Reference Chart of Accounts above.
