Vendor Management & Inventory Tracking System with invoice generation

Current Issue : A vendor calls and gives me his order and now i have to write it down and later send it to manufacturer and he will let me know if he has enough stock. Problem 1 -I cant be taking orders if im not aware if the manufacturer has the stock so i wanna be notified when the stock is less with a invoice of how much stock is to bought and ill just make the payment so the stock part will be sorted. Problem 2 - Most of the older stock in warehouse are misplaced and expires so i would prefer that older ones are sent first. Structure: With all vendors treated uniformly, We will design the system so that any vendor can place an order without complexity, while the approval logic remains centralized on your side and with the manufacturer. Once an order is placed, the application will automatically check manufacturer stock availability, trigger low stock alerts, and generate a purchase invoice when replenishment is required so payment can be completed immediately and stock gaps are avoided. Since dispatch tracking relies on a tracking ID provided by the warehouse, the system will include a simple but reliable dispatch module where tracking IDs are entered and linked to each order. From there, delivery status will be monitored and reflected across hospitals, agencies, warehouses, and stores without manual follow ups. Because the platform is intended to remain internal initially, We will keep the architecture secure, lightweight, and scalable so we can validate operations and adoption first. At the same time, it will be future ready in case you later decide to open controlled access to external partners or expand channels. The core system will cover inventory visibility, first expiry first out dispatch logic, defective returns tracking, payment status monitoring with automated reminders after 60 days, and high volume order handling in the range of 3,000 to 6,000 orders per day.
