I would like to generate a program that can import Excel documents and
- generate emails through Outlook.
- generate letters in Word
- generate text messages via the web
It would be necessary to be able to select ‘email only’, ‘text only’, or ‘both’.
The excel documents vary in format, so it is necessary to be able to indicate to the program which cells to import from different documents. For instance,
- if the “appointment date” exists in Column A in one report, but Column D in another, I would need to be able to indicate to the program where the data exists so that it can import this data into the proper place in the email/letter/text.
- I would need to be able to save the format for each Excel sheet for future use
Some of the input excel documents have the names in the ‘LastName, FirstName’ format. The program would need to be able to import these and separate the names into individual fields, so a letter can be addressed as Mr. LastName or Ms. FirstName LastName
Also, some of the excel sheets indicate gender/sex, but do not contain salutations (Mr., Mrs., Dr.,).
The program would need to add the proper salutation based on the gender/sex:
- males would be Mr.
- females would be Ms.
An option to override the salutation would be needed in the review section (before the emails/letters/texts are generated), so that the operator can place Dr. or Rev. (or something else) in a specific field so that the email/letter/text shows that entry as the salutation instead of the automated Mr. or Ms. described above.
The outgoing email would need to have two ‘buttons’ so that the email recipient can click to indicate
- that they confirm the appointment or
- to cancel the appointment
I would need to be able to make new letters without requesting your help in the future. So, if one letter uses the excel data to write a thank you letter, the same data can be used to send a recall notice. I simply need to place the proper field in the correct place in the letter
The program would need to skip entries with no email address on the excel sheet, but send a report to me, the sender, indicating individuals (rows) for whom the email was not generated.
The option to request read receipts (email and text) is necessary
The option to schedule delayed emails is important.
An email will automatically be sent to me listing
- all of the emails that are sent in a given batch
- all of the text messages that are sent in a given batch
BCC and CC options would be available.
I provided samples of an Excel data sheets.
I am certain that additional adjustments will be needed along the way. This should be built into the bid
Access to the program CANNOT BE PASSWORD PROTECTED BY THE PROGRAMMER. I will need full access to the codes upon completion!
