Position Summary As the Community & Events Coordinator, you will be responsible for planning, coordinating, and supporting all community events. You will serve as the primary point of contact for members before, during, and after each event to ensure an exceptional member experience. This role requires someone who is highly organized, proactive, detail-oriented, and comfortable communicating with people throughout the day. You won't simply be checking tasks off a list—you'll own the coordination of our events and help build an engaging, professional community. Responsibilities Event Planning Research and contact potential event venues Request pricing, availability, and venue information Coordinate venue bookings Confirm reservations and event logistics Maintain the event calendar Coordinate vendors when necessary Member Communication Respond to member questions through email, text, and messaging platforms Welcome new members Send event confirmations Send event reminders Follow up with attendees after events Handle cancellations and RSVP changes Ensure members have all necessary event information Event Operations Track registrations and attendance Organize attendee lists Coordinate seating when necessary Prepare event materials Communicate with hosts, speakers, volunteers, and vendors Monitor event execution and resolve issues as they arise Ensure events start on time and run smoothly Community Support Build positive relationships with members Answer questions promptly and professionally Help members feel welcomed and engaged Collect member feedback after events Report suggestions and recurring issues to leadership Administrative Duties Update spreadsheets and event databases Maintain event checklists Track venue contacts Organize documents and files Prepare weekly event summaries Keep communication records organized Future Responsibilities As the community grows, this role may expand to include: Email marketing campaigns Event announcements Social media event postings Community newsletters Member onboarding Membership renewals Community engagement initiatives Volunteer coordination CRM management Assisting with sponsorship and partnership outreach Schedule Days Tuesday Thursday Friday Saturday Sunday Hours 1:00 PM – 9:00 PM Eastern Time This schedule aligns with our event operations, allowing the coordinator to support members before, during, and after events.
