The pivot table is just capturing the "Notes" and the "W/E Expected Date" on the "Cash Sheet tab". Problem is if you change any of the data and refresh it you lose the data. How do I refresh and keep the data in the same format please?

Hello Sir, I can fix the pivot table so refreshing the Cash Sheet preserves the Notes and W/E Expected Date data in the same format, while ensuring updates to the underlying data are retained correctly.

★★★ Excel Specialist ★★★ Hi, To address the issue of losing data upon refreshing the pivot table, I'll implement a solution using Excel's Power Query. This will involve creating a connection to the 'Cash Sheet' tab and ensuring that the 'Notes' and 'W/E Expected Date' fields are retained during refresh operations. I will set up a query that loads the data into a separate table, which will allow for data manipulation without losing the original format. Additionally, I will configure the pivot table to reference this new table, ensuring that any changes made will persist after refresh. I will also test the solution by modifying data in the 'Cash Sheet' and refreshing the pivot table to verify that the data remains intact. This approach will ensure that your data is preserved while still allowing for updates. To get started, I will need access to the Excel file and any specific formatting requirements you have for the output. Thanks!

The issue you’re seeing isn’t the pivot table itself — it’s that the fields “Notes” and “W/E Expected Date” aren’t part of the source data structure in a way Excel can preserve during refresh. When a pivot pulls values that aren’t properly tied to the underlying table, any manual edits disappear the moment you refresh. I’ve fixed this in finance and operations sheets where pivots must keep custom notes intact. My approach is simple: review your Cash Sheet tab, convert the source range into a structured table, ensure Notes and W/E Expected Date are true fields in the dataset, and adjust the pivot so refreshes never overwrite or drop your edits. If needed, I can add a lightweight helper column or mapping layer so your formatting stays stable. One risk: if users type directly inside the pivot instead of the source table, Excel will always wipe those edits. Clean source‑first workflow avoids that. Do you want the pivot to update automatically on open, or only manually? Happy to jump in and fix the refresh
