Job Scope – Microsoft Dynamics Implementation for Samuelson Sales Objective: Configure Microsoft Dynamics to be our quoting, PO, and CRM system with integration into QuickBooks Online, while ensuring all key documents are retained and organized under each customer account. Must be able to work during US CDT time 7am - 4pm and be on virtual calls 1. System Configuration Set up Dynamics CRM for Accounts, Contacts, Leads, and Opportunities. Build workflow for RFQ → Quote → Sales Order → Customer PO. Customize fields to track GP margin, vendor reference numbers, and project/job names. Create standardized quote templates and PO templates branded for SS. 2. Quoting & Order Management Configure process to generate and send quotes from Dynamics. Enable easy conversion of quotes into Sales Orders once approved. Implement workflow to attach and manage customer POs inside Dynamics. Set up vendor PO creation workflow for sourcing materials. Configure automated email or PDF output for sending to customers/vendors. 3. Document Retention (Critical Requirement) Ensure the following documents are retained and easily accessible under the customer’s account record in Dynamics: Quotes sent to customer POs received from customer POs issued to vendor(s) Order acknowledgements received from vendor(s) Configure version control or document tagging so each file can be tracked by job number / customer PO number. 4. QuickBooks Online Integration Connect Dynamics to QuickBooks Online for invoice and PO synchronization. Ensure customer POs, invoices, and payments flow between systems without duplication. Train team/admin on reconciling sync errors and best practices. 5. CRM Enablement Configure lead tracking and follow-up reminders. Automate activity tracking (emails, calls, meetings). Implement pipeline views for active opportunities, quotes, and orders. 6. Training & Documentation Provide step-by-step SOPs for: Entering leads and opportunities Generating quotes Converting to orders/POs Storing and retrieving documents under accounts Syncing with QBO Conduct training sessions with sales team and admin/VA.
