PatientNow EMR Backend Configuration

Our aesthetics practice recently moved onto PatientNow Essentials, but the onboarding left most of the heavy-lifting to us and my clinical team simply can’t spare the time. I need the entire backend configured so the software mirrors our real-world workflow and pricing. Here’s what still needs attention: • Update every product and service with its true cost, package details, and appropriate CPT/HCPCS codes where applicable. • Build scheduling rules that assign the correct appointment length, room, and provider department automatically. • Create or import all intake forms, consent forms, post-procedure instructions, and templated letters so they generate with a click inside the chart. • Design charting templates that match our current paper notes—checkboxes, dropdowns, smart text, photos, the works. • Organize departments and user roles so permissions, reporting, and calendars stay clean. You’ll receive our price list, form PDFs, and a sample day’s schedule for reference. Once the build is complete, I’ll walk through the workflow in a shared screen session; any issues discovered there will need to be corrected before we sign off. If you’ve configured PatientNow Essentials before, you’ll hit the ground running, but strong experience with any modern EMR (e.g., Athena, Nextech, Zenoti) that proves you understand fee schedules, provider mappings, and template logic is welcome. Familiarity with SQL or built-in report builders is a bonus for future tweaks, though not required for this phase. Timeline is flexible but I would like a fully functional environment ready for testing within two weeks of project start.
