Project Brief: Simple Vagaro Setup for Wellness Businesses Please read this carefully before you apply: Summary of problem 1: We are setting up Vagaro booking system and based on specific add ons selected for a spa service we want the system to trigger a secondary booking add on based on a customer selection with the relevant practitioner that delivers this service. One booking will have 2 persons involved and as such 2 seperate downstream add on bookings attached to the main booking. ideally the booking will check avaliability of the practitioner for the downstream service as part of the booking process. Summary of problem 2: Vagaro sends a generic email for all bookings. we have 3 different businesses and multiple diffferent appointment type. We want to be able to send specific confirmation and reminder emails based on the type of appointment. We cannot use the multi-location feature, as it does not cross check available resources between the three businesses, so we need this accommodated under one business location. Background We have a limited budget for this project. If 'Part 1' (setting up complex booking packages) is too complex and time-consuming, we are ready to remove it. In that case, we would only hire someone for 'Part 2' (fixing booking emails). Please give us your exact total price, not just an estimate. This helps us see if your price fits our budget right away. About This Project: We need a skilled freelancer to set up and improve our existing Vagaro booking system. Our main goal is to use Vagaro's normal features as much as possible, to keep costs low. But we still need help with some special things: creating customised booking packages and making sure our booking confirmation emails look correct. My partner and I run three separate businesses from the same building, and we share 2 treatment rooms. We have our own practices, and I starting a shared business (a spa). What we have now: We have already opened our Vagaro account and listed our three businesses under one location. We have also added our staff, services, and shared rooms (resources). We will give you full access to manage our Vagaro account. We want to start this project in the next 1 to 2 weeks. We will also give you our business logos and website addresses for each business, so the booking pages and emails match our brands. Part 1: How to Book Special Packages Because we have a budget and want to avoid too much custom coding, we need ways to automatically book two group packages in Vagaro. We know that Vagaro's standard features do not handle these perfectly. The best person for this job will first look for smart, simple ways or easy fixes using Vagaro's existing tools. If we absolutely must write custom code (using Vagaro's API), it needs to be designed to be as simple as possible. Package A: Two Clients - Spa Time and Separate Treatments This package is for two clients and has two main steps, one after the other: Step 1 (2 Hours, Private Spa & My Time): This books our outdoor spa deck for 2 hours for both clients. It also books me (a specific staff member) to look after them during this time. Step 2 (1 Hour, Treatments at the Same Time): This happens right after Step 1. Two different staff members will give each client a 1-hour treatment at the same time. Clients might be in the same room or different rooms, depending on their chosen service. Clients can choose one of these four 1-hour services for Step 2: A facial or body therapy session (with me) A Chinese herb consultation (with my partner) A massage (with a contractor, I will manage this part manually after the booking) What We Need for Package A: One Easy Booking & Payment: Clients should be able to book the entire 3-hour experience for both people and pay for it all together in one easy step online. Smart Booking Rules: The system needs to first book the 2-hour spa deck and me. Then, it needs to find and book two other staff members for only the 1-hour treatment time that comes after. Correct Availability Check: This is very important because our staff also have their own appointments. The system must accurately check if the needed staff are free for that specific 1-hour treatment slot, and if our shared rooms are available. Choosing Services & Staff: Clients should be able to choose their treatment for Step 2. The system should then correctly assign the right staff member and room for that final 1-hour period and then block those resources and staff across all three businesses. Package B: Group Spa Deck Booking This package is for a group of 4 to 6 people to use the spa deck for 3 hours. Option to Add Services: Ideally, the system would also let them add other individual services if staff and rooms are available at that time. Simpler Option: If adding services is too difficult, we are fine with clients just booking the spa time. Then, we can give them a form to ask about adding services, and I will contact them directly to see what's available. Price Per Person: The price for this package must be shown as a price for each person. Important Note: We understand that 'Part 1' (setting up these packages) might need a lot of custom work or difficult technical solutions, which could increase the project cost. If this happens, we are ready to remove this part and handle these packages manually ourselves. Part 2: Fixing Booking Confirmation Emails (Vagaro) Because all our businesses are in one Vagaro location, we have a problem: we cannot make the booking confirmation emails look different for each business or customize them based on the service booked. We can make small changes to the online booking widgets, but we need a way to make sure the emails show the correct brand (logo, colors) and details for the specific business that received the booking. Also allow for individual customised emails base don appointment type. For this part, we are looking for the simplest way to solve this email problem, using Vagaro's normal features plus some very basic custom code (API intervention) if necessary.
