Professional Care Billing

The ideal website would allow care providers to track income/expenses, invoice customers, schedule, receive payments, etc...


I want facility owners to have a personal "about us" website similar to facebook or myspace. This webpage includes important information like available openings, hours, closures, etc... somewhat like a blog.

Members should have the ability to send private messages between each other, but have direct access to other people linked to the facility in an address book. Messages should also be tagged or highlighted if they are "linked" to you.


The facility staff should have the ability to generate invoices (manually or automatically) based on preset terms or time sheet. Preset terms would typically include a weekly minimum (ex. $200/wk but $5/15min late fee after 5pm)

Invoices paid or due should always be emailed and available online in a pdf and html format.


The Facility should be able to setup payment gateways like paypal, Google Checkout or similar. It should be simile to setup with a basic "insert email here" style for them to use.

Time Sheet-

The time sheets should track the in/out times employees and children. It should allow multiple in/outs per day along with reasons that might include school, sick, etc... it also needs to include who checked them in or out. This will be used for employee payroll and billing purposes.


This should include two setups... one for children and one for employees. Many childcare providers are only allowed a maxim number of children or babies, and the number can change based on how many employees are working. This system will be used to help plan a schedule for employees or adjustments for guardians. The facility should also have the ability to offer online scheduling. (ex. a guardian might want to trade days or bring their child an additional day... with online scheduling, they could check them self and request a time slot from the facility which can approve the request)

Expense Tracking-

This should include purchases and vehicle mileage. The ability to generate graphs and reports showing income, etc... is also important.

Forms & Reports-
The system should also have the ability to generate for download PDF/ printable forms for the guardians to fill out. (examples will be provided)

This would include registration information, etc...

The reports would be often use as a paper backup.

The facility should also have the ability to upload photos for use on their "about me" page and to either PM to guardians or have in a private gallery for the guardians to browse and download.

The website will need to be compatible with Windows, Linux, Mac... Including Firefox and IE.

Each webpage will also have Google Analytics & Google AdSense.

I am expecting the developer to build the website with a few spare "pages" for other information, but I can provide all of the text & photos.
