I have an online English school helping students worldwide. I am looking for an ACCESS database enabling me to track students who paid their monthly fee and who didn't. Reports, emails and updates will be needed. PayPal will only notify me of students who paid so the reports will have to be generated from payment entries into the database.
Form: A payment entry form is needed to show payments and to later help generate reports of students who did not pay.
Accounts should be found by: student_ID or Student name or first name.
Report 1: A report is needed showing students who did not pay. This must be sorted by country and then alphabetically and listed by Student_ID, Student Name, First Name and email address. This report is needed to stop access to the school until the students pay their fee. An email must be generated to notify the student and sent.
Report 2: A report is needed showing students who have not paid for two consecutive months. This must be sorted by country and then alphabetically and listed by Student_ID, Student Name, First Name, email address. This report is needed to cancel the student's account so that a new student can be added. An email must be generated to notify the student and sent.
Report 3: A monthly income report is needed showing the total by country, which will be sorted alphabetically. A grand total for the month must be calculated at the end. The report has to show the following information: Student_ID, Student Name, First Name, Amount paid.
Report 4: A yearly end report for income must be created from the above by country and sorted alphabetically. The report has to show the following information: Student_ID, Student Name, Student First Name, Total paid for the year, Grand Total paid by country and Grand Total Yearly Income.
Report 5: The report is needed to indicate how many seats remain available for a class. The maximum is five. The
information, sorted by student level, will show the day, time and remaining seats available.
Updates must be possible when accounts are created and cancelled.
Updates must be possible when an entry error is made.
Updates must be possible from accounts that need to be reinstated (cancelled accounts to be reactivated).
Updates must be possible reducing the number of available seats in the class for that day and time
when new students are added to that class. The maximum is five.
Data fields needed are as followed:
Student First Name
Student Level: Beginner, Lower-Intermediate, Intermediate, Upper-Intermediate, Advanced, Fluent
Student Training Program
Class_ID: Examples Beg100, LInt102, Int302, UInt701, Adv405, Flu405
(Numbers representing 1, 2,3,4, 5 ,6 ,7th day then 01,02,03,04,05,06,07,08 lesson for that day)
Class Program: Basic or Corporate specialty name
Class Size: Maximum is 5.
Progam Name: Basic or Corporate
Program Specialty: Too many to list but should be entered manually then selected from a drop down menu
Program Fee: $34.95 for Basic / $59.95 for Corporate It should be possible to update this.
