How to create an email signature

An email signature is one of the most important (and often overlooked) aspects of an email. Your email signature will often tell your recipient(s) vital information about how to contact you, your address and other information they might need. One of the great things about email signatures is that they are also a great marketing tool that can help get exposure for your business products and services. This article will help you create an email signature.

Things to consider

In order to make a good looking and functional email signature, you will need to know how to code in HTML. This can sometimes take a long time to learn, so you need to consider whether you want to spend time learning HTML and creating the email signature yourself or if you want to use something like an email signature generator (examples below) that do it all for you. You will also want to consider a number of factors when creating an email signature, such as what you want to get out of the signature. Is the main aim to get brand exposure for your business, or is it to get social media following? These are the things you should think about before designing the layout of your email signature.

Design

Once you know what you want out of your email signature, you need to think about how you want it to look? Do you want to have a logo on there, will you have links to your social media pages to try and increase following? Try and have at least one picture in your email signature such as a logo, as that will add some color to it. Most email signatures generally have the following:

1. A logo

2. Phone numbers

3. Email address

4. Website address

5. Street address

6. Social Icons

Coding

Because coding an email signature is quite complex and dynamic, specific instructions are difficult to write out and rely heavily on your knowledge of HTML. Here are some points to consider when coding your email signature:

1. Use a good text editor such as Sublime Text Editor or Notepad++, these will both help you find errors in your code (for example if you miss a closing bracket somewhere)

2. Search the internet, and see if there are some ready made HTML templates that you could use, to save you time and the hassle of coding your own email signature. Some examples are here and here.

3.Check the size of your email signature by right clicking on the signature file and clicking on properties (in Windows). The smallest email signatures are the best, as they dont take up as much space on mail servers, and they also send to your recipients quicker.

An alternative way to make email signatures

The best way to make an email signature is to use an email signature generator, or by coding the email signature in HTML yourself. However, there is another way to make your signature and that is by using Microsoft Word. However, this way will cause your email signature to have some problems and will not work correctly with images at times.

Testing

Once you have created your email signature, make sure you test it by installing it into your email software such as Outlook, and send a test email to see how the signature looks when it reaches the receipient, as signatures can often get mangled when they are sent if the signature is not created correctly.
